Pharmaceutical Cold Chain Tests: Connect Protocol to Report

A pharmaceutical cold chain test should answer a defined question using a controlled protocol and traceable evidence. Before starting, specify the product conditions, configuration, exposure, measurements and acceptance criteria. The final report should show what actually happened rather than presenting a selected successful temperature curve as universal approval.

Define the decision the study will support

State whether the study concerns a shipping container, a changed configuration or another defined process question. Identify the product presentations, payload variations and exposure being assessed. Assign review responsibilities through the applicable quality process.

WHO: qualification of shipping containers is a May 2015 technical supplement to the 2011 WHO model guidance for pharmaceutical storage and transport. It does not establish a new global 2025 certification or automatically qualify every process called a cold chain test. Use the requirements appropriate to the actual study.

Approve the protocol before execution

Protocol elementWhat the record should establish
ScopeExact system and intended claim.
ConfigurationContainer, coolant, payload, preparation and layout.
ExposureSpecified study conditions and timing.
MeasurementsDevice identity, calibration evidence and justified locations.
AcceptanceProduct-relevant criteria set before the result is known.
DeparturesHow deviations and incomplete evidence are assessed.

Define relevant warm and cold risks rather than measuring only a convenient central point. The planned measurements should support the actual decision, including possible exposure below a product’s permitted lower limit.

Retain an execution record

  • Identify the components actually used.
  • Record preparation and starting conditions.
  • Document device placement and time references.
  • Retain the original measurement data.
  • Record handling events and departures.
  • Explain missing observations or changed execution.

If the executed arrangement differs from the protocol, make that difference visible. Do not quietly rename the test configuration to match the desired claim or exclude an inconvenient trace without justification.

Write a report tied to the evidence

Compare results with the approved criteria and describe deviations, limitations and unresolved questions. Keep the raw data, calculations and configuration references accessible to reviewers. Explain what load and exposure variations the conclusion covers.

Check resistance

A passing result for one arrangement does not establish all products, seasons, routes or substituted components. Define the supported operating scope and when a proposed change requires further assessment.

Document the authorized review and conclusion through the applicable quality process. Packaging qualification, carrier acceptance and product disposition are separate decisions with different evidence needs.

Frequently asked questions

Can acceptance criteria be chosen after seeing results?

Define them beforehand and document any justified changes transparently.

Does one passing curve prove every route?

No. Limit the conclusion to the supported configuration and exposure.

Does a WHO reference certify my packaging?

No. The actual study and applicable review must support the claim.

Use the relevant narrower guides

Use the qualification and validation terminology guide and the temperature curve interpretation guide for the supporting distinctions.
